The problem
The problem
Medical reports sent by email, contracts on personal Drive accounts, three versions of the same file in three places: "spontaneous" document management holds up until an inspection, a dispute, or an employee leaving with the credentials.
For anyone handling sensitive data — medical practices above all — the problem is double: besides the disorder there is liability. "Where is patient data and who can see it?" is a question you must be able to answer, by law and by seriousness.
We build private portals on Nextcloud and dedicated servers: each user sees only their folders, every access is logged, backups and updates are managed. We did it for a medical practice with hundreds of patients: non-technical users work with it daily, without support tickets.
The benefits
What you gain, concretely.
- V/01
Your data, on your server
No personal accounts or platforms that change terms: the portal runs on a dedicated server, in Europe, registered to you.
- V/02
Granular permissions
Each user sees only what belongs to them: per-client or per-patient folders, staff roles, expiring shares. All logged.
- V/03
Simple for the people using it
Essential interface, browser or app access, training included. Designed for non-technical users: if it needs a 50-page manual, it is wrong.
- V/04
Managed backups and updates
Regular, verified backups and security updates applied by us. "We will get to it" is not a backup strategy.
- V/05
Defensible GDPR
You know where the data is, who accesses it and since when: the concrete basis for answering data subjects and authorities. With your privacy consultant, we speak the same language.
- V/06
A clear annual fee
Maintenance, monitoring, security and support in one defined annual fee. No surprises, no emergency call-out invoices for avoidable problems.
How we work
Our working method, step by step.
-
Flow analysis
Who produces documents, who must see them, how long they must be kept: we map real flows before touching technology.
-
Structure and permissions
We design folders, roles and access rules around how you actually work. The right structure prevents future disorder.
-
Installation and hardening
Dedicated server, HTTPS, security configuration, automatic backups. The portal is born protected — it is not secured afterwards.
-
Data migration
We move the existing archive — Drive, NAS, email — reorganising it into the new structure. You migrate order, not chaos.
-
Training and operations
We train the staff on daily use and stay operational with ongoing maintenance, monitoring and support.
FAQ
The questions we hear most often.
Control and accountability: on a dedicated portal the data sits on your server, with permissions you decide and logged access. Consumer services are fine for personal files; client and patient data demand different guarantees.
On a dedicated server in a European data centre, registered to your business. You always know where it is, who accesses it and with which permissions — exactly what you need when someone asks formally.
Yes: for the end user it is a login page with a username and password, showing only their folders. Patients of a medical practice use it daily with no technical skills. Simplicity is a project requirement, not a hope.
Monitoring often alerts us before you notice; regular backups let us restore a file or the whole system. Faults and surprises are covered by the management fee: no surprise invoice per intervention.
The portal gives you the technical instruments GDPR requires: access control, traceability, data in Europe, backups. Full compliance also involves your processes and paperwork (registers, notices): we gladly work on that with your privacy consultant.
An annual fee covering server, maintenance, updates, monitoring and support, defined before starting based on users and storage. The real alternative — managing it "when needed" — always costs more, just at worse moments.
